AN/015-2018 Human Resources Advisory Services Assistant

Context: Under the overall supervision of the Head of Office, Panama Administrative Center (PAC) and direct supervision of the Head of Human Resources Advisory Services (HRAS), the incumbent will provide global support functions and assistance to country and regional offices on human resources matters relating to locally recruited personnel.

Core Functions / Responsibilities:

•Assist in advising country and regional offices on the proper interpretation and application of HR policies and guidelines, particularly with regard to recruitment, contract types and separations, in coordination with the Head of HRAS.

•Assist with the review and authorization of separation clearance statements, in accordance with applicable staff regulations and rules, labor laws and precedents.•Provide assistance with the separation process in SAP (PRISM HR).

•Gather required documentation and background information from country offices in an effort to clear separations.

•Enter personnel data in PRISM HR and process personnel actions for PAC staff as required (e.g. new hires, rehires, extensions, separations, etc.).

•Create and maintain the official personnel files for staff and non-staff members in PAC as per relevant guidelines and checklists.•Request PAC Unit supervisors to complete the separation checklist for separated staff.

•Assist with a variety of administrative duties, including statistics, reports and other communications.

•Coordinate closely with other HRAS team members, in particular those also involved with staff separations and PAC-related administrative processes.

Experience Education

•Bachelors’ or equivalent degree in Human Resources Management, Industrial Relations, Behavioural and Development Studies, Public or Business, Psychology or related field from an accredited academic institution with at least two years of relevant work experience.or

•High School Diploma with a minimum of four years of relevant work experience.

Experience •Relevant work experience in human resources management or related area.•

Sound understanding of human resources administration.

•Familiarity with records administration and salary calculations.

•High-level computer literacy.

•Experience with HR IT systems and applications.

•Knowledge of IOM/UN personnel rules and policies an advantage.

•Ability to write clearly and concisely


•Fluency in English and Spanish

•Working knowledge of French is an advantage
